You can create an unlimited amount of Personalised
Ordering templates, made up of frequently ordered products. So there
is no longer a need to search for frequently ordered items as they
will all be shown on your requisition template. This will save you
a lot of time. |
 |
 |
You can enter notes against each order or even each
product in the order. The notes will appear on the delivery notes
and are also saved online
with the order. This extra information relating to the order will
not be lost and so there is no
need for extra notes to be kept. |
 |
 |
Orders can be assigned to references, Cost Centres
or Departments for internal
charging and reporting purposes. Because this is done
at the time
of ordering
instead of when the invoices arrive it saves a great deal of time and
effort. |
 |
 |
You can set up any number of users and accounts each
with their own login details.
This gives you complete control over who can access the site and
how far they can go. |
 |
 |
There
are several different options that can be turned on or off for each
user. e.g. Hide prices or Can view reports. Each user can be setup
quickly and
easily, and in case of absence a temporary user can be setup to cover
the ordering. |
 |
 |
You can create many different reports from the top
level account right down to the product level. These can be based
on total spend or line/order counts. This is a very quick, efficient
way to keep control over your stock and
purchases and you can
see exactly what has been ordered and by whom. |
 |
 |
A dynamic frequently ordered items list. The number
of items that are displayed can be selected by the user. An easily accessed
favourites list means that you can find your products quickly and efficiently |
 |
 |
Budgets can be set against the account, user or cost
centre. When a budget is exceeded it can warn or block the users.
This gives you complete control over each user or cost centres spending.
Once
a limit is reach there is no way they can over spend. |
 |
 |
An Authoriser can be set so that all orders must be
checked and given the OK. The authoriser is notified by email when
an order is waiting to be authorised. You can now have several people
ordering throughout
the company with one person having final approval on the order. This
will allow the ordering to be spread across the whole company instead
of one
person doing all of the work. As only one person has approval control
you can ensure users will not over spend. |
 |
 |
Our full catalogue of products is available online,
with pictures and extra information relating to each item. Bespoke items
can also be added to the site. Because the catalogue is available online
there is no need for big paper catalogues to be kept and updated each time
a new one comes out. All employees in the company can be given access to
the catalogue so they too have the up to date products available. |
 |
 |
All agreed discount and contracted item prices are
available online. There is no need to ring up to find out the price,
just look online and you'll see exactly how much it is going to cost.
This will save a lot
of time and effort as it is all available at a click of a button. |
 |
 |
The whole ordering system is based on the internet,
which is compatible with most internet browsing software. Paperflowonline
can be accessed from anywhere in your office, in fact anywhere in the world
where you can access the internet. No need for any software to be installed,
just access it via your normal browsing software. |
 |
 |
An incremental web order number is associated with
every order that is placed via the web. This number will appear not
only on the order that is saved on the web but also on the delivery note.
This
makes checking your orders a lot easier as all of the information
is in a consistent format giving you a complete audit trail saving
time and effort. |
 |
 |
Each order can be saved and given a name. When saving
an order all of the information is saved including any extra notes
or references. The saved orders can be added to and sent when needed.
This gives you the
opportunity to batch up the orders and only send them once a sufficient
number of lines are on the order. You
can simply add to the
order on screen when someone makes a request instead of scribbling
down notes that may get lost. |
